Enterprise Services offers an extensive variety of cleaning and property solutions, together with an experienced and dedicated team that are committed to tailoring their services to clients needs and exceeding their expectations. Currently employing over 130 people in the field with head office in Clayton, VIC, they strive for innovation and equip their team members with the latest in technology, machinery and equipment. 

Staff at Enterprise Services were allocating substantial time on manual tasks such as attaching receipts to spreadsheets and tediously updating into the accounting software for reconciliation prior to Budgetly. In turn, this presented several hurdles:

Challenges

  • Manual reimbursement process: Collecting receipts for staff expenses were completed via spreadsheets and then manually inputted for reimbursement, deeming to be inefficient, time-consuming and painful.

  • Saving and chasing receipts: The biggest challenge would be staff saving receipts up to six months, which would then have a ripple effect to other aspects of reconciliation every quarter.

  • Time consuming and unsustainable: The manual receipt collection process resulted in a lack of real-time transparency regarding expenditures and unnecessary additional staffing.

How Enterprise Services axed manual spreadsheets by using Budgetly!

Budgetly prepaid corporate debit cards are available in physical and digital formats, with virtual cards available instantly upon application. Staff can add Budgetly’s virtual cards to their mobile wallets and use them immediately in any location.

With Budgetly’s preloaded cards, Enterprise Services staff can transact, capture their receipts using a smartphone, and upload them to the app. In addition, Budgetly’s expense management software automatically records transaction details such as vendor names and transaction amounts. 
           

Support staff can also add notes to each transaction and assign them under categories and tags set by finance teams. This allows the team to easily filter and view relevant transactions based on tours or expense categories.

         

Finance teams can allocate budgets for each card and set spending limits to avoid overspending. Additionally, these budgets can be automated to reset or roll over every fortnight.
