Before Budgetly, reimbursing staff purchases presented challenges:

  • Chase receipts: Whenever a staff member made a purchase, there was always a tedious process of trying to locate the receipt. Orion Care soon realised that this method was not scalable and it became difficult to process reimbursements without the necessary receipts.

  • Manual reconciliation:  In addition to the hassle of finding the receipt, staff members were required to either email it to us or physically hand it in. This was followed by a time-consuming process of manually matching the transaction data and entering it into Accounting Software. The number of steps involved for a simple on-the-job purchase was inefficient.

  • Issuing cards: Before Budgetly, Orion Care looked at another solution from one of the big banks but found it clunky and difficult to issue cards to staff for spending.

Results

1. No more reimbursements or chasing receipts!

Orion Care can now pre-approve spending with rules applied. The app makes it easy for staff to upload receipts at the point of purchase and even sends a notification to prompt them. The receipt and transaction information is then instantly available for the finance team to review.

2. Instant card issuing

Cards can be issued to staff who need them and virtual cards are instant if there are a few one-off purchases that need to be made by a casual staff member. Orion Care has completely done away with reimbursements.

How Orion Care saved 20 hours a week using Budgetly's prepaid corporate cards

Budgetly prepaid corporate debit cards are available in physical and digital formats, with virtual cards available instantly upon application. Staff can add Budgetly’s virtual cards to their mobile wallets and use them immediately in any location.

With Budgetly’s preloaded cards, Orion Care staff can transact, capture their receipts using a smartphone, and upload them to the app. In addition, Budgetly’s expense management software automatically records transaction details such as vendor names and transaction amounts.

Staff can also add notes to each transaction and assign them under categories and tags set by finance teams. This allows the team to easily filter and view relevant transactions based on project or location.

Finance teams can allocate budgets for each card and set spending limits to avoid overspending. Additionally, these budgets can be automated to reset or roll over every fortnight.

Requesting a money top-up is hassle-free on the app, and finance teams can approve them with a click of a button. In addition, all staff transactions can be viewed on the software, giving administrators more control over company budgets.
