Overview

Hawke’s Brewing Co is the story of two mates who wanted to have a beer with Australia's most famous Prime Minister but went one better and started a beer company with him.

Today, they are an independent, Australian-owned brewery with a range of award-winning beers that even your uncle who "doesn't like the fruity stuff" will enjoy.

Hawke's Brewing Co used a mixture of a few company credit cards as well as staff reimbursements prior to implementing Budgetly. The cards were inevitably shared around by some of the staff, but there was still a lot of staff that needed to be reimbursed for their purchases.

Not having a solution like Budgetly came with several challenges:

  • Chasing receipts. “Chasing receipts from staff was impossible”. The business employs a lot of casual staff and this meant it could be a while before they’d come back with the receipt that was needed for the transaction to be reconciled and a reimbursement to be completed.
    If a receipt was missing, this also meant that Hawke’s Brewing Co were unable to claim their full GST tax credit entitlements.

  • Card sharing. Hawke’s Brewing Co do a great job at implementing all the necessary policies to remain compliant with credit card sharing (or not sharing) but inevitably, sometimes someone just grabbed the card to make a purchase. This took time to identify who made the purchase and chase down that receipt. 

  • Staff reimbursements. Hawke’s Brewing Co didn’t want their staff to be out of pocket for reimbursements but sometimes a purchase needed to be made right then and there for the business. With casual staff, it could be a while before they were on shift again to provide the receipts and therefore the reconciliation and reimbursement was a lengthy process.

The app makes it so easy for staff to upload receipts at the point of purchase. The app even sends them a notification to prompt them. The receipt and transaction information is then instantly available for the finance team to review.

How Hawke's Brewing Co saved time and stopped chasing receipts by using Budgetly

Budgetly prepaid corporate debit cards are available in physical and digital formats, with virtual cards available instantly upon application. Staff can add Budgetly’s virtual cards to their mobile wallets and use them immediately in any location.

With Budgetly’s preloaded cards, Hawke's Brewing Co staff can transact, capture their receipts using a smartphone, and upload them to the app. In addition, Budgetly’s expense management software automatically records transaction details such as vendor names and transaction amounts. 
           

Staff can also add notes to each transaction and assign them under categories and tags set by finance teams. This allows the team to easily filter and view relevant transactions based on project or location.
