Family Centered Support Services are a team of experienced practitioners who are committed to providing in-home and community-based services to families and individuals.
Their dedicated Family Centered practitioners work closely with Department Child Safety Officers and the family to get to the heart of problem behaviours and to find ways to change them for the better.

Family Centered Support Services used staff expense accounts along with Dext prior to Budgetly. Not having a solution like Budgetly came with a number of challenges:

Challenges

• Chasing receipts: Dext didn’t have the ability to issue cards, so Family Centered provided their staff with their own expense accounts and had staff to upload receipts via Dext. However, they still had one hundred missing receipts per week, which was too big to ignore.
  
  

• Risk of funds not being returned: Family Centered didn’t want their staff to be out of pocket for business purchases, so they set up expense accounts for the majority of staff. However, problems arose with staff turnover as it was often difficult to recover funds from those expense accounts.
  
  

• Huge admin burden: Linked to the above two headaches, chasing hundreds of receipts took so much time. Getting access to funds for staff when they needed it was also time consuming, not to mention the time spent trying to have the funds returned if a staff member left. There was the huge amount of time spent matching the receipts to the transaction and ensuring the information was correct (who spent what, for what purpose, out of what account, GST information etc). With too many areas for things to go wrong, requiring due diligence to get it right and too many parts to make it whole.

Results

1. No more chasing receipts!

The app makes it so easy for staff to upload receipts at the point of purchase and even sends a notification to prompt staff. The receipt and transaction information is then instantly available for the finance team to review. This is a big difference from Dext as that app did not prompt staff to upload the receipt when they tap their card.

Family Centered can now issue cards, set spending rules, instantly top up budgets, track transactions in real-time, and reconcile into their accounting software. Staff can only spend what is allocated and if any extra funds are needed, it’s all instant with a click of a button.

How Family Centered Support Services saved six hours a week on their expense management by using Budgetly

Budgetly prepaid corporate debit cards are available in physical and digital formats, with virtual cards available instantly upon application. Staff can add Budgetly’s virtual cards to their mobile wallets and use them immediately in any location.

With Budgetly’s preloaded cards, Family Centered Support Services staff can transact, capture their receipts using a smartphone, and upload them to the app. In addition, Budgetly’s expense management software automatically records transaction details such as vendor names and transaction amounts. 

Staff can also add notes to each transaction and assign them under categories and tags set by finance teams. This allows the team to easily filter and view relevant transactions based on project or location.

Finance teams can allocate budgets for each card and set spending limits to avoid overspending. Additionally, these budgets can be automated to reset or roll over every fortnight.
