Overview

Australian Christian Churches (ACC) is a movement of Pentecostal Churches in voluntary cooperation. Each individual church is self-governing, but commits itself to work together with other churches in the movement for the purpose of mutual support and the spread of the gospel in Australia and the world.

Prior to Budgetly, ACC Queensland was utilising Westpac debit and credit cards in multiple people's names and also reimbursing staff/volunteers for purchases they made on their personal cards. This came with several challenges:

Challenges

• Difficulty issuing staff and volunteers cards: When dealing with the banks, It was often hard to get new cards. The need for 100 Points of ID from staff and volunteers, made providing cards a painful and manual process.
  
  

• Time-consuming reconciliation: ACC used to have to go through a lengthy reconciliation process, collecting receipts manually and then reconciling these up against various credit card and debit card statements...and that was when the receipts were provided on time, if at all.
  
  

• End to end system to manage expenses: ACC were using Dext, MYOB, and Westpac cards, alongside reimbursements for other staff who were unable to get cards. Having multiple platforms in order to track and reconcile their staff transactions, receipts and reimbursements meant they were wasting so much time on a painful, manual process.

Results

1. Issue cards instantly!

ACC are now able to provide cards to staff and volunteers in 4 clicks. They no longer need to go into the bank with 100 points of ID, and then wait 2 weeks for approval. Plus, with the option for Virtual Cards they can instantly provide a staff member or volunteer a card to their phone at a moment's notice - no more need for reimbursements!

2. No more time consuming reconciliation!

ACC now have all their receipts captured and allocated for them against the correct transaction, with the correct coding - as their staff get prompted at the time of the purchase. This has saved their finance team a lot of time chasing up, collecting and manually reconciling receipts.

How Australian Christian Churches saved at least 4-5 hours a month in expense management admin time by using Budgetly

Budgetly prepaid corporate debit cards are available in physical and digital formats, with virtual cards available instantly upon application. Staff can add Budgetly’s virtual cards to their mobile wallets and use them immediately in any location.
