What data does Budgetly sync to Xero?

Budgetly syncs transactions as Bank Transactions in Xero, with the merchant name mapped as a Contact, the category mapped to your Chart of Accounts, GST extracted and applied, receipts attached as files, Tracking Categories mapped as Tags, and a full description including budget name, user name, masked card number, and notes.

How does the one-click sync work?

Navigate to the Xero sync page in Budgetly. You’ll see all settled transactions with their category, receipt status, and sync readiness. Review the list, categorise any uncategorised transactions, upload any missing receipts, then press Sync Now. Transactions and receipts transfer to Xero together.

Can Budgetly auto-reconcile transactions in Xero?

Yes. Enable auto-reconcile in the Xero configuration settings and synced transactions are automatically marked as reconciled in Xero. Most bookkeepers prefer the one-click review mode so they can verify before syncing. Budgetly recommends consulting your accountant before enabling auto-reconcile.

How does Budgetly map to my Chart of Accounts?

During setup, Budgetly pulls your Xero Chart of Accounts and lets you create categories that map directly to your accounts. Name them however makes sense for your team. If you add or change accounts in Xero later, update the mapping in Budgetly’s Xero settings. Budgetly adapts to your accounting structure.

Does Budgetly support Xero Tracking Categories?

Yes. On the Premium plan, Budgetly maps your Xero Tracking Categories as Tags. Toggle them on in the Xero configuration page. When your team tags a transaction in Budgetly, it syncs to the matching Tracking Category in Xero. If you add new Tracking Categories in Xero, click Update in Budgetly to refresh.
