How it works

One funded account. Budgets for the way your business works.

Put company funds into your Budgetly Spend Account, then decide how your team can use them. Cards access those funds within the budgets and limits you set.

  1. Company funds Budgetly Spend Account A$20,000
    Step 1

    Fund your Spend Account

Transfer money from your verified business bank account into Budgetly.

  2. Spending limits
    • Operations Shared by the team A$5,000/month
    • Office Supplies For each member A$300/month
    Step 2

    Set team budgets

Organise spending by team, project or location, with shared or individual limits.

  3. Card purchase
    • Officeworks Office Supplies budget A$42.80
    Step 3

    Spend and track

Your team uses its cards, while finance sees transactions against the relevant budgets.

Figures are examples. Your Spend Account needs sufficient funds, and purchases must stay within the applicable budget and card limits.

Budgets

Adjust spending access as your team's needs change.

Set budgets for teams, projects or locations, then adjust limits when plans change. Use shared limits where spending is pooled, or individual limits where each person needs a defined allowance.

  • Shared limits for pooled spending
  • Individual limits for each member
  • One-time, weekly or monthly budgets
  • Edit limits and members as plans change

Visibility

See card spending without reconstructing it later.

See purchases as they appear in Budgetly, with the cardholder, merchant and transaction details together. Review spending against the relevant budget instead of piecing it together from separate records.

  • Cardholder, merchant, budget and amount on each transaction
  • Filter transactions by user, budget or date

Receipts and accounting

Keep receipts and accounting connected to the purchase.

Staff add receipts to purchases in the app. Finance reviews the records, syncs transactions to Xero or exports them for other accounting software.

Questions about Budgetly cards

Is Budgetly a prepaid card?
Budgetly provides Visa business debit cards linked to a Budgetly Spend Account. Your business transfers funds into that account, and the cards access those funds instead of each holding a separately loaded balance. Budgets then control how much each team or person can spend.
Do we still need to add money before spending?
Yes. Your business funds its Spend Account before the cards are used. The difference is that you manage funding in one place, rather than loading each card separately. Funding and budgets are separate: increasing a budget doesn’t transfer money into the account, and a funded account doesn’t override a budget or card limit.
Can several people use the same budget?
Yes. A budget can have a shared limit for everyone in it, or individual limits for each member, so you can organise spending around how your team works. Sharing a budget doesn’t mean sharing a card: members can spend from the same budget on their own cards.
Can I use Budgetly as a personal prepaid or gift card?
No. Budgetly is designed for business spending, not personal prepaid-card or gift-card use. Business eligibility and verification requirements apply.
Can we issue cards during the free trial?
No. The trial lets you explore the software, configure budgets and add users. Cards and live transactions aren’t included in the free trial; they require a paid plan and the applicable approvals. See the Free Trial Terms and Conditions. If you’d like to see the cards and controls working before you decide, book a demo.
Does Budgetly work with our accounting software?
If you use Xero, connect it directly and map your categories to your chart of accounts, then sync transactions with their merchant, account and receipt. If you use MYOB, QuickBooks or other accounting software, export your transactions as a CSV file and bring them in through that software’s import process. See how the Xero integration works.
What happens if a card runs out of budget or is lost?
These are two different situations. If a purchase is more than the budget has available, it’s declined, and finance can review the budget and adjust its limit if that’s appropriate. If a card is lost, freeze it in Budgetly so it can’t be used. If it doesn’t turn up, cancel it and arrange a replacement, and our Australian-based support team can help.
